Terms of Service

1. The service
VetFlow provides a managed candidate-vetting service: we screen, score and rank candidates submitted by your agency against role criteria you provide, and return the results through our dashboard and intake channels. These terms govern your use of that service and our website.
2. Accounts
You are responsible for keeping your login credentials secure and for activity under your account. You must provide accurate information and use the service only for lawful recruitment purposes.
3. Fees & billing
Service packages comprise a one-off setup fee and a recurring monthly fee, agreed with you before you begin. Recurring fees are billed in advance and, unless stated otherwise, are non-refundable for the period already started. You can cancel at any time; cancellation takes effect at the end of the current billing period.
4. Your responsibilities
You confirm you have the necessary rights and lawful basis to submit candidate data to us for vetting, and that you will handle the resulting assessments fairly and in line with applicable employment and data-protection law. Vetting outputs are decision-support tools — final hiring decisions remain yours.
5. Data protection
Our handling of personal data is described in our Privacy Policy. Where we process candidate data on your behalf, we do so as your data processor under appropriate terms.
6. Availability
We work to keep the service available and accurate but provide it on an "as is" basis. We do not guarantee uninterrupted availability and may carry out maintenance from time to time.
7. Liability
To the extent permitted by law, our total liability arising from the service is limited to the fees you paid in the three months before the event giving rise to the claim. We are not liable for indirect or consequential losses.
8. Changes & governing law
We may update these terms; material changes will be reflected by the "last updated" date. These terms are governed by the laws of England and Wales. Questions? Email hello@vetflow.co.uk.
