Who we are

VetFlow ("we", "us") is an AI team-building platform. We help builders — founders, studios and investors — assemble, assess and optimise teams, and we help talent build a profile and get matched to the teams they want to join. This policy explains how we handle personal data and your rights under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. Contact us at hello@vetflow.co.uk.

Our role: controller and processor

For your account, your talent profile, your messages and your activity on the platform, we act as the data controller. When a builder assesses talent within their workspace, we act as a data processor on that builder's behalf, processing the information only to produce the assessment and team-chemistry analysis they request.

What we collect

• Talent profile data: the name, headline, bio, skills, experience, links and preferences you choose to add.
• Builder account data: your workspace name, email and login credentials, and the projects and positions you create.
• Assessment data: profiles or CVs submitted for assessment, and the scores, attributes and chemistry analysis we generate.
• Community & messages: posts, comments, images and direct messages you choose to share in The Lounge or with other members.
• Usage data: basic technical logs needed to operate and secure the service.

How we use it

We use your data to run the platform: to build and show your profile, to assess talent and measure team chemistry, to power discovery, community and messaging, and to keep the service safe. Uploaded images are automatically screened for safety before they appear. We do not sell personal data, and we do not use your data to train third-party AI models.

Sub-processors

We rely on trusted infrastructure to deliver the service — including hosting and deployment, a managed database and file storage, and an AI model provider used for assessment, chemistry and content safety. These providers process data on our behalf under appropriate data-protection terms.

Retention & deletion

You can edit or delete your profile and your content at any time. Talent profiles are kept while your account is active; assessment data is kept while the relevant builder workspace needs it. Ask us to remove your data and we will delete it, subject to any legal obligations to retain certain records.

Your rights

You have the right to access, correct or delete your personal data, and to object to or restrict its processing. To exercise any right, contact hello@vetflow.co.uk. You also have the right to complain to the UK Information Commissioner's Office (ICO).

Security

We use appropriate technical and organisational measures to protect personal data, including encryption in transit, access controls, and tenant isolation so one workspace's data is never visible to another.

Changes

We may update this policy from time to time. Material changes will be reflected by the "last updated" date above.
